4. Legal Bases for Processing

Where the General Data Protection Regulation applies, I rely on one or more of the following legal bases:

Performance of a contract

I process information necessary to manage your booking, prepare and deliver the service, communicate with you and provide any agreed materials or recordings.

Consent

I rely on your consent when:

  • recording a session;

  • sending marketing communications;

  • collecting optional information where consent is appropriate;

  • using non-essential cookies or similar technologies, where applicable.

You may withdraw your consent at any time. Withdrawal does not affect processing that took place before consent was withdrawn.

Legal obligation

I may retain or process certain information where required for accounting, taxation, consumer protection or other legal obligations.

Legitimate interests

I may process information where reasonably necessary to:

  • manage and improve my business;

  • maintain appropriate business records;

  • prevent fraud or misuse;

  • protect my rights;

  • resolve complaints or disputes;

  • analyse general, anonymised patterns to improve my services.

These interests will be balanced against your rights and privacy.

5. Client Intake Forms and Birth Information

Client intake forms are collected through Google Forms.

The information you provide is used to prepare and deliver the reading you booked. This may include highly personal information about your circumstances, priorities and experiences.

Please provide only the information you feel comfortable sharing and that is relevant to your reading.

You are responsible for checking that your birth date, birth time, birth place and location details are accurate. Incorrect information may affect the preparation and interpretation of the reading.

Intake-form responses and birth information may be retained for up to 3 years after your last session. This allows me to support returning clients and maintain continuity between readings.

After this period, the information may be deleted or anonymised unless a longer retention period is required by law or necessary in connection with a dispute.

6. Session Recordings

Sessions are recorded only with your express consent, requested at the beginning of the session.

If you do not consent to recording, the session will proceed normally without being recorded.

Recordings are stored in Google Drive and made available to you for download for at least 60 days after delivery.

Recordings will be deleted from my systems within 90 days of the session, unless:

  • a longer period is required by law;

  • a dispute requires temporary retention; or

  • a different period has been expressly agreed with you.

You are responsible for downloading and securely storing your recording during the access period.

You may not independently record the session without prior consent.

7. Service-Related Communications

I use client contact details only to manage and deliver the booked service.

This may include:

  • booking confirmations;

  • appointment reminders;

  • intake-form questions;

  • Google Meet links;

  • rescheduling or cancellation notices;

  • recording delivery;

  • communications directly related to your reading.

Booking a session does not automatically add you to my marketing email list.

You will only receive newsletters or promotional communications if you separately choose to subscribe through MailerLite.

8. Email List and Free Resources

When you request a free resource or join my email list through MailerLite, I may use your name and email address to:

  • deliver the requested resource;

  • send newsletters;

  • share educational content;

  • provide updates;

  • tell you about relevant services or offers, where you have consented.

You can unsubscribe at any time by clicking the unsubscribe link included in each marketing email.

Withdrawing from marketing communications will not affect service-related messages connected to an active booking.

MailerLite processes subscription information on my behalf in accordance with its own privacy and data-protection practices.
